-Complaints should be made no later than 180 days after the date of the alleged discrimination. Persons filing a complaint with the Fire Department should notify the Fire Chief as to whether they has also reported the case to the U.S. Department of Homeland Security Office for Civil Rights and Civil Liberties (CRCL) – contact info below. This is requested to avoid duplicate investigations.
-The Fire Chief will acknowledge the complaint, in writing, within 10 business day of receipt.
-Once the compliant is initiated and acknowledged, the Fire Chief will correspond with the complainant via US Mail.
-If the only complaint filed is filed with the Fire Department, the Fire Chief will conduct an investigation including interviewing all parties involved and will document all complaints and all findings in an electronic format on the Department’s computer system for future review.
-The Fire Chief will keep and open line of communication with the Complainant throughout the process and will report the results of the investigation within 180 days of the initial complaint.
-The Fire Department will assist persons with Visual and Hearing Disabilities and those with Low English Proficiency in making their complaint by use of the procedures in Section 3.5 of this document.

-Free language services, such as qualified foreign language interpreters and information written in other languages, to ensure meaningful access to programs and activities for persons with limited English proficiency.
-Note – As a small, rural Fire Department, we consult with our Chatham County partners, such as the Chatham 911 Center (Emergency Management) and Chatham County Health Department and other vendors to provide some of these services. For example, the 911 Center provides oral translation services for time-sensitive issues via the language line service - CryaCom International. For less time sensitive issues, written translation is provided in-house or through the Chatham Health Department, depending on the language in question.
